AI Roster Drafting

Instead of starting a roster from a blank grid, Vuoron can draft a forecast-shaped roster for you and then propose which employee works each shift. You start from a complete, demand-matched draft and spend your time reviewing and adjusting rather than placing every shift by hand.

Two actions appear on a draft roster window:

  1. Draft from forecast — creates open shifts that fill the coverage targets.
  2. Assign draft — proposes a named employee for each open draft shift.

:::info Availability AI drafting is an optional capability. If it is enabled for your organization, the Draft from forecast button appears on draft roster windows. If you don't see it, drafting is not enabled for your account. Assign draft is always available. :::

The golden rule: you always review

The AI never publishes a roster and never binds an employee to a rule violation. Everything it produces is a draft proposal that a planner reviews, edits, and publishes through the normal flow. Think of it as a very fast first pass, not an autopilot.

Draft from forecast

For each day in the window, the engine creates open shifts (unassigned) whose combined coverage tracks the target curve as closely as the labour-hour budget and your min/max limits allow.

  • Drafted shifts are marked so a re-draft replaces only the engine's own shifts — your hand-made shifts are left untouched.
  • Shift-level TES rules (maximum shift length, adequate breaks) and the location's operating hours are enforced as the draft is built.
  • If the budget or limits can't fully cover demand, the remaining gap is reported, not papered over.

Assign draft

For each open draft shift, the engine either proposes an employee or leaves the shift open and explains why no one qualified — it never force-fills.

When it assigns someone, the full TES rule set is checked for that specific employee: minimum rest between shifts, consecutive workdays, free weekends, weekly rest, period hour limits, shift overlaps, and availability. A blocking violation disqualifies the candidate — it is impossible to assign someone into a breach through the engine.

Among eligible employees, the engine prefers fair, compliant placements — balancing contracted-hours targets and spreading unsocial (evening/night) hours — and prefers candidates with no warnings.

Reviewing the result

  • Engine-drafted shifts and engine-assigned employees carry markers on the roster grid so you can see what the system proposed.
  • Reassign, unassign, edit, or delete anything freely.
  • Publish through the normal publishing flow when you're happy — publishing re-checks compliance as usual.
